  • Personal Data: While using our Service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you ("Personal Data"). This includes, but is not limited to:
    • Email address
    • Full Name
    • Payment information (processed by Stripe)
  • Student Data: As a teacher, you may provide information about your students, including their name, email address, proficiency level, and native language. You are responsible for obtaining consent from your students to provide this information to us.
  • User-Generated Content (Audio Files): We collect the audio files you upload to the Service. This is the core data required for our analysis features. You must have explicit consent from all participants in a recording before uploading it.
  • Usage Data: We may also collect information on how the Service is accessed and used ("Usage Data"). This Usage Data may include information such as your computer's Internet Protocol address (e.g., IP address), browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, and other diagnostic data.

2. Use of Data

SpeakRecap uses the collected data for various purposes:

  • To provide and maintain our Service
  • To process your subscriptions and payments
  • To notify you about changes to our Service
  • To provide customer support
  • To monitor the usage of our Service to detect, prevent and address technical issues
  • To generate lesson analyses, summaries, vocabulary lists, and homework assignments as requested by you

3. Third-Party Service Providers and Data Processing

We employ third-party companies and individuals to facilitate our Service ("Service Providers"), to provide the Service on our behalf, or to assist us in analyzing how our Service is used. These third parties have access to your Personal Data only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.

  • LLM Usage: We send the audio files you upload to an LLM for transcription and analysis, using the enterprise-grade tier for this service. Your data is used solely to provide the analysis result to you and is never used outside of the scope of the app.
  • Object Storage: Your uploaded audio files are securely stored on remote object storage (operated by Akamai). Access is restricted to our application for processing purposes.
  • Payments: All payment and subscription management is handled by Stripe. We do not store your credit card details on our servers. We store a customer ID provided by Stripe to manage your subscription status.
  • Email Notifications: We use Brevo for sending transactional emails, such as registration confirmations, password resets, and notifications.

4. Data Security

The security of your data is important to us but remember that no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security. We implement measures such as encryption in transit (SSL/TLS) and at rest.

5. Data Retention

We will retain your Personal Data and uploaded Content only for as long as is necessary for the purposes set out in this Privacy Policy and to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our legal agreements and policies. You can delete your lessons and associated audio files at any time through the Service.

6. Your Data Protection Rights

You have certain data protection rights. SpeakRecap aims to take reasonable steps to allow you to correct, amend, delete, or limit the use of your Personal Data. If you wish to be informed what Personal Data we hold about you and if you want it to be removed from our systems, please contact us. In certain circumstances, you have the following data protection rights:

  • The right to access, update or to delete the information we have on you.
  • The right of rectification.
  • The right to object.
  • The right of restriction.
  • The right to data portability.
  • The right to withdraw consent.

7. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. We will let you know via email and/or a prominent notice on our Service, prior to the change becoming effective and update the "Last Updated" date at the top of this Privacy Policy.
